HOUSING BUREAU
The Tulsa Convention Housing Bureau (hereafter referred to as TCHB) is a sub-division of the Tulsa Convention & Visitors Bureau, a division of the Tulsa Metro Chamber.
As a service to hotels, convention delegates and meeting planners, Tulsa offers a professional, complimentary, computerized Housing Bureau. The TCHB acts as a liaison between convention delegates and hotels. Instead of delegates individually calling several hotels to find an available room for a convention, they send one housing reservation form to the TCHB. The TCHB then matches the delegate with a hotel on the basis of the date the form is received by the TCHB and the availability of the hotels requested on the form by the delegate. If there is no room at any of their choices, a room is selected, by the TCHB, at another available property being utilized by the association.
The basic operation of the Tulsa Convention Housing Bureau :
- Tulsa is selected as the convention destination
- Convention utilizes a minimum of two (2) hotels
- Meeting Planner authorizes, in writing, TCHB to operate housing for group
- Hotels are selected and rates confirmed by Meeting Planner
- TCHB mails commitment forms to each selected hotel
- Housing form is designed and approved by TCHB & Meeting Planner
- Housing form is printed & distributed by Meeting Planner
- Housing forms are mailed/faxed/e-mailed to TCHB by attendees
- Housing process begins
ONSITE SERVICES
Registration Personnel* : The Bureau employs a staff of experienced registration personnel - "Regi-Stars." They are available to assist with registration, serve as information clerks or perform other duties during registration.
Name Badge Holders* : Plastic name badge holders (2.5" x 4") are available through the Bureau.
Name Card Inserts* : Pre-printed with the distinctive Tulsa logo, the name card inserts are available in four colors for your delegates. These 8.5" by 11" sheets are compatible with most printers.
Program Shells* :This attractive four-color brochure features the "Windows of Tulsa" with a prominent position available to announce your group name and convention date. The reverse side is available for your schedule of events, itinerary or any number of ways to promote your convention or meeting.
Tulsa Information :The Bureau maintains a supply of brochures, on the many area attractions and activities in northeastern Oklahoma. These brochures, along with restaurant guides and area maps are available for distribution during on-site registration.
